Who it is for

Who Needs These Trucking Documents

  • The new dispatcher

You have finished training or you are close, and you need real paperwork before you sign your first carrier. Start with the Service Agreement.

  • The dispatch service owner

You are running loads already, off documents you patched together. The bundle replaces all of it in an afternoon.

  • The new carrier or owner-operator

You need to pass your new entrant audit, keep driver files clean and find freight. The bundle covers compliance and both lists.

Objections, answered

Why Not Use a Free Dispatcher Contract Template?

  • Written for trucking

Dispatch fees, factoring assignment, broker setup and DOT audits are not in a generic business template.

  • Used on real loads

These are the documents we teach with at the Tracy and Fresno campuses, not a form pulled off the third page of a search result.

  • Editable, not locked

You get the Word and Excel files. Change the fee, the terms, the branding — it is yours from that point on.

  • One purchase, unlimited carriers

Use the same set with every carrier you sign. No per-signature fee, no seat count, no renewal.

  • Written in one voice

Free templates come from five different sources and contradict each other. These reference the same terms end to end.

  • Backed by people you can call

If something is missing from what you bought, ring (209) 655-0001 and a person picks up.

Where these come from

Written by a Truck Dispatcher Training Academy

Awahe Academy has been teaching truck dispatching one on one since 2017, online and in person at two California campuses. These documents are the paperwork side of that training, sold on their own for people who want the forms without the training program.

Why Truck Dispatchers Need the Right Documents

A dispatch service agreement protects your fee

Most new dispatchers start on a handshake. That works until a carrier disputes your percentage, stops paying after a slow week, or takes the brokers you found and books them direct. A written dispatch service agreement puts your dispatch fee, payment terms, term and termination notice on paper before the first load. Independent contractor language and a non-solicitation clause make it clear you run your own business and your broker relationships are not free for the taking.

A carrier and broker setup packet gets you approved faster

Every broker asks for the same paperwork before releasing a load: carrier profile, W-9, certificate of insurance, MC and DOT details, and a notice of assignment when the carrier uses factoring. When that packet is complete and consistent, setup takes minutes instead of days. It also helps stop fraud. Checking that the MC number, insurance and contact details match before you book is how you catch double brokering and identity theft, two of the most common ways new dispatchers lose money.

Rate confirmations and invoices are how you get paid

The rate confirmation is the contract for each load, so read it before you sign: rate, pickup and delivery windows, detention terms and any fines. After delivery, a factoring-ready invoice with a proof-of-delivery cover sheet gets the carrier paid faster. Detention, layover and TONU letters make sure extra time and cancelled loads get billed, and a simple collections follow-up keeps slow-paying brokers moving.

New carriers need DOT compliance from day one

A new authority faces the FMCSA new entrant safety audit within its first 12 months. Driver qualification files, hours of service, drug and alcohol testing and IFTA mileage records all get checked. Having checklists in place before the audit is far easier than rebuilding records after it. See our trucking business compliance guide for more.

Shipper and broker lists keep trucks loaded

Load boards are only one source of freight. A broker database helps you set up with more brokers and build repeat lanes, and a direct shipper list lets you go after contract freight that never hits the board. Pair them with proven negotiation scripts and you stop depending on whatever posts that morning.

Common questions

Trucking Document FAQs

What format are the files in?

Documents come as editable Microsoft Word (.docx) plus a print-ready PDF. The shipper and broker databases come as Excel (.xlsx) files that also open in Google Sheets.

How fast do I get them?

Instantly. Your download link appears on the order confirmation page right after checkout and is also emailed to you. Each link can be used 2 times, so save the files to your computer. Trouble downloading? Call (209) 655-0001.

What is in the $189 bundle?

All 10 resources on this page: the three dispatch packs, the three DOT and FMCSA compliance resources, the load booking scripts, the shipper onboarding guide, and both the shipper and broker databases.

Should I buy one pack or the bundle?

If you only need to sign your first carrier, the Service Agreement is the one that matters. If you also need compliance paperwork or people to call, the bundle gets you all 10 for $189 instead of $1,138.

Can I use these with more than one carrier?

Yes. One purchase covers your own business and every carrier you sign. You may not resell the documents or pass them on as your own product.

Are these valid in my state?

They are general business templates written for US interstate trucking. Contract law is state specific, so have a licensed attorney in your state review anything you intend to sign.

Do I need these if I am taking a training program?

No. Our dispatch training programs cover this paperwork as part of the training. These are for people who want the documents on their own, or who trained somewhere else.

Can I get a refund?

Because the files are delivered digitally and cannot be returned, sales are final. If something is missing from what you bought, contact us and we will fix it.

Do I need any software to edit them?

Anything that opens Word and Excel files. Microsoft Office, Google Docs and Sheets, and Apple Pages and Numbers all work, and Google’s are free.

Is my payment secure?

Checkout runs on Shopify, the same platform used by millions of stores. We never see or store your card details.
